Stock Condition Methodology

A detailed walkthrough of our stock condition survey methodology — from portfolio scoping through component-level data capture to 30-year lifecycle forecasting. Every step aligns with NHF and RICS standards.

Survey Methodology
01

Portfolio Scoping & Sampling Strategy

We begin by understanding your stock — archetypes, construction ages, tenure mix and data maturity — to design a survey programme that delivers statistically defensible data.

  • ▸Stock segmentation by archetype: construction type, age band, tenure and refurbishment history
  • ▸Sampling strategy aligned to NHF and RICS guidance — 100% survey or statistically representative sample
  • ▸Survey scope definition: which component categories, data fields and condition criteria to capture
  • ▸Prioritisation matrix based on data gaps, known defects and investment cycle timing
02

On-Site Component Survey

Every building element is inspected at component level using digital data capture — no paper, no transcription errors, no missing fields.

  • ▸19 component categories surveyed: roof coverings, structure, external envelope, windows, kitchens, bathrooms, heating, electrical, communal areas, etc.
  • ▸Digital data capture on tablet devices with mandatory field validation and photo prompts
  • ▸Condition rating assigned per component using the A–D scale (see rating definitions below)
  • ▸Photographic evidence per component with automatic geolocation and component tagging
  • ▸Quantity take-off: area, linear metre or unit count recorded for cost modelling
  • ▸Defect diagnosis with root cause identification where applicable (e.g. penetrating damp vs condensation)
03

Data Analysis & Lifecycle Modelling

Survey data is processed to calculate remaining lifecycle, estimate remediation costs and generate condition analytics at property, block and portfolio level.

  • ▸Remaining lifecycle calculated: Expected Life − (Current Age × Condition Factor) = Years Remaining
  • ▸Condition-based cost estimation using current Spons / BCIS price books adjusted for region and access
  • ▸Lifecycle replacement profiles modelled across a 30-year horizon for capital programme planning
  • ▸Portfolio-level analytics: condition distribution, backlog maintenance quantification and risk hot-spot mapping
  • ▸Data quality validation: completeness checks, outlier flagging and assurer sign-off
04

Investment Programme Delivery

The final deliverable is a defensible, costed capital investment programme with exportable asset register data ready for your systems.

  • ▸30-year capex forecast modelled by year, component and archetype with scenario sensitivity
  • ▸Priority repair schedule: immediate (safety), short-term (1–2 years), planned (3–10 years), cyclical (10+ years)
  • ▸Exportable asset register in CSV/XLSX format — structured for direct import into your asset management system
  • ▸Board-ready summary dashboard with headline metrics, condition distribution and investment recommendations
  • ▸Annual refresh cycle available to keep data current and track condition trajectory over time
Rating Methodology

Condition ratings & lifecycle calculation.

Every component is rated A–D based on remaining lifecycle. The rating feeds directly into cost estimation and capex forecasting — it is the core data point that drives investment decisions.

A

Good

Component retains ≥75% of expected life. No significant defects. Routine maintenance only.

B

Satisfactory

Component retains 50–75% of expected life. Minor defects, planned maintenance sufficient.

C

Poor

Component retains 25–50% of expected life. Significant defects, replacement within 5 years.

D

Critical

Component retains <25% of expected life. End of life, replacement required within 1–2 years.

Lifecycle Formula
Remaining Life = Expected Life − (Current Age × Condition Factor)

Expected Life — industry-standard service life for the component type (e.g. boiler = 15 years, roof covering = 40 years).

Current Age — age of the component since installation, verified on-site or from maintenance records.

Condition Factor — multiplier derived from the A–D rating: A = 0.25, B = 0.5, C = 0.75, D = 1.0.
